Job Description
Job Summary:
We are seeking a highly organized and detail-oriented Client Finance & Operations Specialist to support our commercial and financial operations. This role will focus on invoicing, pricing, budget management, and financial reporting while ensuring accurate data tracking and collaboration across teams. The ideal candidate will have strong analytical skills, excellent stakeholder management abilities, and experience working with financial systems like WorkBook.
Key Responsibilities:
Financial Operations & Invoicing
Approve pricing and ensure alignment with client agreements.
Create and approve invoices, including pro-forma invoices, ensuring accuracy and compliance.
Liaise with the Centre of Excellence (COE) team to confirm invoices are correctly processed and delivered to clients.
Work closely with the controllership team to ensure proper allocation of payments and credits.
Cashflow & Revenue Management
Prepare and submit weekly cashflow receivables reports to track outstanding payments.
Conduct weekly catchups with client leads to clear open financial items and outstanding receivables.
Budget & Forecast Management
Manage BD (Business Development) budgets, ensuring allocations are correctly tracked.
Assist with pricing of retainers in WorkBook, ensuring correct team allocation and value-added services to maintain target profit margins.
Ensure forecast schedules are maintained and up to date in WorkBook.
WorkBook & Data Management
Conduct data patrols to validate and maintain data integrity within WorkBook.
Submit monthly time allocation for Full-Time Contractors (FTC) and freelancers for accurate financial journaling.
Ensure jobs are closed and reconciled in a timely manner.
Assist in updating opportunities and pipeline as needed.
Operational & Commercial Support
Act as a stand-in for single-role-dependent positions within the operations and commercial teams when required.
Key Requirements:
Tertiary qualification in Accounting, Business Administration, or a related field.
A minimum of 10 years’ experience in a client finance role.
Strong knowledge of financial processes, budgeting, and cash flow management.
Proficiency in WorkBook or similar creative agency project management tools.
Advanced Microsoft Excel skills and familiarity with financial reporting tools.
Excellent organizational and analytical skills with high attention to detail.
Ability to liaise effectively across teams and manage multiple stakeholders.
A proactive approach to problem-solving and process improvement.
