Job Description
As an Office Administrator, you will oversee daily office operations, ensuring a smooth and efficient work environment. This role is pivotal in maintaining a welcoming atmosphere, as you will be seated at the front desk, greeting and assisting employees and visitors. Your responsibilities include managing administrative tasks such as scheduling, space reservations, reception duties, catering, vendor management, and office supplies. You will also support executives, coordinate events, ensure office security, and handle employee and visitor inquiries.
The position is on-site, 5 days a week.

Key Responsibilities:
- Office Operations Management: Oversee daily office operations including reception services, space reservations, meeting and event coordination, maintenance, cleaning, courier services, supplies, catering, travel arrangements, parking and security.
- Office Equipment Coordination: Collaborate with the IT department to ensure all office equipment is functional and up to date.
- Vendor & Service Management: Maintain relationships with vendors, manage billing and procurement including company car Fleet and Telecom.
Handle vendors inquiries and feedback in a professional and efficient manner, ensuring high levels of satisfaction. - Event Planning: Support company events and team activities.
- Security & Data Integrity: Ensure the security, integrity, and confidentiality of office data and physical assets.
- Customer & Visitor Support: Provide general assistance to visitors and employees.
- Reporting: collect information, prepare monthly reports and delivery to different stakeholders.
- Process Improvement: Suggest improvements for office processes and environment.
- Executive Support: Manage executives’ calendars, appointments, and travel.
- Workplace Environment Maintenance:
Maintain a safe, secure, and pleasant work environment for employees and visitors.
Qualifications
- Required Language: Hebrew+ English Proficiency
- Work Experience: 3-4 years in similar roles
- BA- advantage
- Strong Communication & Organizational Skills: Efficient at multitasking and prioritizing.
- Problem Solving & Adaptability: Quick to resolve issues and adapt to changing needs.
- Microsoft Office Proficiency: Strong in Word, Excel, PowerPoint, Outlook.
- Experience: Previous office or administrative management experience preferred.
